Collective Minds Canada ("CMC," "we," "us," or "our") collects personal information directly from you, automatically through your use of our website, and in some cases from your employer or organization when they register you for training. This includes contact and account information such as your name, job title, employer or organization name, email address, phone number, and mailing address, along with anything you share through a contact, inquiry, or discovery-call form. It also includes training and registration information such as course enrollment details, session dates, attendance records, program completion status, evaluation responses, feedback, and certification or proof-of-participation records for programs like MHFA, ASIST, and safeTALK. We collect website and technical information such as your IP address, browser and device type, general location, pages visited, referring links, and time spent on our site through cookies and similar tracking technologies. When you make a payment, billing name, organization, and invoice details are collected, while payment card information is processed directly by our third-party payment processor and is never stored on our systems.
2. Information
We use the personal information we collect to respond to inquiries and provide information about our services, programs, and availability, and to register and administer participation in training, including scheduling, logistics, and materials. We may issue certificates or proof-of-participation where a program requires it, and we use your information to communicate about upcoming sessions, changes, cancellations, or follow-up resources. Where appropriate, we tailor training content to a client organization's audience, sector, and goals, and we use feedback and usage data to improve our website, services, and training content over time. With your consent, and in accordance with Canada's Anti-Spam Legislation (CASL), we may send newsletters or promotional communications, and we use information as needed to meet contractual obligations to client organizations and requirements set by licensed program owners such as MHFA and LivingWorks, as well as applicable legal, regulatory, and accounting obligations. Information collected through training sessions is never used for any clinical, diagnostic, or counselling purpose; CMC training is educational and does not constitute mental health treatment, and anything shared by participants during sessions is treated with discretion and used only to support the learning experience.
3. Protection
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold, restricting access to personal information to team members and facilitators who need it to do their work. We rely on reputable third-party providers for website hosting, email, scheduling, and payment processing, each of which is bound by their own confidentiality and security obligations, and we require any third party who processes personal information on our behalf to protect it to a standard consistent with this policy. We retain personal information only as long as necessary to fulfill the purposes described in this policy, meet program-certification requirements, or satisfy legal and accounting obligations, after which it is securely deleted or anonymized. We do not sell, rent, or trade personal information to third parties for their own marketing purposes.
4. Rights
Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation, you have the right to access the personal information we hold about you, request correction of information that is inaccurate or incomplete, and withdraw your consent to our collection, use, or disclosure of your information at any time, subject to legal or contractual restrictions.
